Workforce Management

What is Time and Activity Management (TAM)?

Time and Activity Management (TAM), also known as Time and Attendance (T&A), is an HRIS (Human Resources Information System) feature dedicated to tracking employee working hours, attendance, absences, and activities. The needs and objectives of TAM vary depending on company size and industry.

SMEs primarily seek simple and cost-effective solutions, while large companies and public institutions require customized systems tailored to their specific processes. This is why Asys offers two time management software solutions: Chronos and So'Horsys, designed to meet a wide range of organizational needs.

Who uses time and activity management software?

TAM is an essential component of HR policies in both public and private organizations, regardless of sector or size.

Employees use time management solutions through an HR self-service portal, available on desktop and mobile devices. This portal allows them to request leave, track balances, view schedules, update personal information, and more.

Managers use the software daily to monitor working hours, attendance, absences, tracked activities, and clock-in data.

HR teams use time management software to oversee working time, calculate entitlements, and process payroll.

What are the features of time and attendance (T&A) software?

Time management software improves company productivity by optimizing scheduling and simplifying tracking. It automates some of the administrative tasks such as:

  • Tracking working hours, overtime, and union leave

  • Managing attendance and breaks

  • Managing absences: vacation, time off in lieu, recovery time, and special leave

  • Tracking spent on activities and tasks

  • Calculating individual time balances

  • Time tracking using traditional or virtual time clocks (mobile or desktop)

Asys’ time management software is customizable to comply with regulations and company policies. Working time data is updated in real time and accessible to both managers and employees.

How do you implement a time and attendance (T&A) system?

Successful implementation of your software starts with defining a clear set of requirements outlining your functional and HR needs.

Key factors include the level of customization required, system performance, and project team expertise.

Asys offers two software solutions along with numerous features to ensure the success of your T&A projects:

  • Chronos: designed for large public and private organizations

  • So’Horsys: a turnkey solution for SMEs with specifics needs

How does Time and Attendance Management (TAM) ensure regulatory compliance?

TAM software ensures that companies comply with legal and contractual obligations. Automated calculations and real-time monitoring of time balances (annual, monthly, etc.) ensure compliance, with alerts triggered when irregularities occur.

With the rise of remote work, these tools also help maintain compliance in flexible work environments.

How can Time and Attendance Management (TAM) help digitize HR processes?

TAM allows for the digitization of HR processes, enabling employees to focus on higher-value tasks. Leave entitlements are calculated automatically, and employees can submit requests through the portal, subject to approval workflows. Employees can request leave themselves, subject to manager approval. The employee portal also provides access to various services, such as remote work, on-call duties, and meal vouchers, all through a multi-level approval workflow.

Working hours

Which systems integrate with your time management software?

Our time management software integrates with a variety of payroll, temporary staffing services, ERP platforms, and messaging tools. It is compatible with leading payroll solutions, including Sage, Cegid, CPage, Ciril, Meta 4, Nibelis, Payfit, Silae, and ADP, as well as staffing platforms like Pilott and Pixid.

Do you offer a trial version of your time management tools?

To be effective and function correctly, time management software must be customized to your company agreements and applicable collective bargaining agreements.

We therefore offer personalized demos rather than a standard trial version.

To discover the full potential of our solution, contact us today here.

What types of businesses are your time management solutions designed for?

Asys offers two solutions:

  • Chronos: for large public and private organizations.

  • So’Horsys: for SMEs, mid-sized companies, and local authorities

Both of our HR solutions combine user-friendliness, performance, decision-support tools, and customization regardless of company size.

How can I ensure data security and GDPR compliance?

Our solutions are designed to meet GDPR requirements, ensuring data security and user rights (access, correction, deletion). Data is securely hosted and managed according to strict standards.

Do you support annualized or flexible working hours?

Yes, our time management software supports both annualized and flexible working time arrangements. Working time records are accessible to managers, HR, and employees, ensuring complete transparency. Overtime is averaged throughout the year, providing optimized management of seasonal fluctuations. Our software facilitates the management of workload variations while ensuring regulatory compliance.

Leave and absences

Can all types of leaves be digitized?

Yes, both our time and attendance software, Chronos and So'Horsys, are flexible and allow you to process the most common types of leave (paid leave, time off in lieu, family leave, advance leave, etc.) as well as company-specific leave through custom configuration.

Is it possible to use only the "leave" module?

Yes, you can use our software to manage only absences requests by selecting the "leave" module. However, leave management is part of a broader time management system, so additional features will still be available.

Is absence management available on smartphones?

Yes, both solutions are accessible on smartphones without requiring an app download, with the same functionality as on a desktop computer. Your HR manager will provide you with the procedure to connect to your HR portal from your desktop or mobile device.

Activity tracking

Can activity tracking be customized?

Yes, activity tracking is fully customizable, with multi-level tracking and tailored labels to reflect your organization’s structure, employee roles, and workflows. It also keeps management and HR teams informed about team occupancy.

This customization is essential in sectors with complex organizations, such as manufacturing.

How does activity tracking work in time management software?

Beyond attendance tracking, activity tracking provides detailed insights into how time is spent on projects or processes, helping HR and finance teams analyze costs and anticipate issues.

Which sectors benefit from activity tracking?

All sectors are affected by the reporting of time spent per activity. Our time and attendance management solutions allow you to monitor your employees' activity. This information is essential for HR teams as well as for management control.

Activity tracking is a significant issue, especially for sectors with diverse or complex operations such as manufacturing and services.

Time clock

How do you implement a time clock system?

Implementation of a time clock system requires careful planning. We recommend following several essential steps:

List all your questions related to the time clock implementation in a document.

Define management rules for clocking in and out: time clock correction process, debit/credit management, overtime management, etc.

Ensure GDPR compliance in your policy for collecting personal data from employees or agents.

Inform employee representatives and communicate the implementation of time clocks to all staff. You will also need to inform employee representatives and communicate the implementation of the time clock to all employees.

How do you choose between physical and virtual time clocks?

Work time data can be collected from various sources: employee or manager declarations, pre-filled with theoretical work schedules, or directly from the time clock itself.

Four main criteria can help you choose the right type of time clock: work environment (temperature, dust, etc.), user profiles, location of the time clocks, and the required features.

Do you offer time clocks that take photos/fingerprints of employees?

No, our time clocks do not take photos or fingerprints during the clocking-in/clocking process.

The CNIL (French Data Protection Authority) emphasizes the principle of data minimization. This means that personal data collected must be adequate, relevant, and limited to what is necessary for the purposes of processing.

We offer simple time clock and access control systems, primarily designed to reliably record working hours. Therefore, taking photos or fingerprints is not part of our solutions.

Do you offer time clock rentals?

Yes, you can choose to rent your time clocks instead of buying them. Installation, support, and maintenance are provided by the Asys teams. You have a single point of contact for your time management solution and your time and attendance equipment.

Integrated into your monthly SaaS subscription, renting time clocks requires no additional investment.

Can we use our existing time clocks?

Only Pyrescom time clocks can be used to ensure real-time data transmission. However, subject to successful testing, you may be able to use your own badges with our time clocks.

What is the procedure in case of a missed clock-in?

It is possible to receive real-time alerts in case of a missed clock-in or an anomaly (odd clock-in, early, or late). Alerts are triggered according to the employee's work schedule settings. In the case of virtual clock-in, employees can correct their clocking errors with manager approval.

Scheduling management

What is scheduling management?

From an HR perspective, scheduling management in a company involves optimizing the organization of human and material resources. Effective scheduling management aims to improve team organization and enhance performance monitoring.

Asys’ HR scheduling software offers numerous features tailored to the industry, company size, and therefore the specific needs of businesses.

Different schedule types include daily, weekly, monthly, individual, or role-based schedules.

What are the benefits of using scheduling software?

Scheduling software offers numerous advantages for all users:

  • Elimination of Excel files or paper schedules

  • Improves communication and information sharing between departments

  • Provides real-time updates for managers and employees.

  • Accessible on all devices

  • User-friendly

  • Offers advanced features tailored to your business’ needs

How do scheduling needs vary by company?

Large international groups, large companies, SMEs, and hospitals all have different needs. These depend on the number of employees, the organizational structure, and the complexity of the regulations.

In sectors with seasonal fluctuations, scheduling is a major concern for HR teams and managers–especially in hospitality, food service, and leisure industries.

Large companies need secure, feature-rich solutions that support collaboration. In contrast, small and medium-sized enterprises (SMEs) prefer simple, easy-to-use tools that keep costs low.

Hospitals have the unique challenge of managing schedules differently for two types of staff: medical and non-medical personnel. This requires very specific scheduling management and functionalities, which our Chronos software provides.

Why use automated scheduling?

Automated scheduling management is part of optimized scheduling. It creates schedules that closely match business needs. Different levels of scheduling exist:

  • Basic schedule: simple hourly planning

  • Constraint-based scheduling: takes into account numerous factors (legal, social, employee skills, etc.) and objectives (commercial, financial, etc.).

  • Optimized scheduling: automatically generates the most efficient schedule while ensuring legal compliance.

How to choose your scheduling software?

To choose your scheduling software, start by clearly defining your needs: number of users, essential features (schedule display, notifications, absence management), and integration with your existing tools.

Consider the software's ability to scale with your company's growth. Ensure it integrates seamlessly with your internal processes to facilitate adoption by your teams. By opting for a secure and reliable solution, you guarantee efficient schedule management while optimizing your employees' daily organization.

Planning

What are the objectives of a schedule?

The main goal of a schedule is to align a company’s resources with its production or service needs, whether in industries such as manufacturing and food processing, or in services like healthcare, education, or administration.

Schedule management complements time management, which ensures the control of working hours. Time management aims to ensure compliance with legal provisions regarding working hours, rest periods, employment, leave, etc.

Schedule management focuses more on understanding an employee's activities during their working hours and preventing situations of overstaffing or understaffing.

An effective schedule meets three criteria:

  • Having the right person (with the right skills)

  • In the right place (department, site, or role)

  • At the right time (based on business needs, to avoid understaffing or overstaffing).

Depending on the organization, schedules are managed by HR teams or operational managers. Because this process can be complex and time-consuming, HR software helps automate and improve scheduling reliability.

What do the different daily, weekly, monthly, and annual schedules represent?

Scheduling management software allows you to work with schedules based on different periods: past schedules or projected schedules. Several types of schedules exist:

  • Daily schedule: a detailed view of one day, including hours worked, clock-ins, and activities

  • Weekly schedule: an overview of the week with key HR data

  • Monthly schedule: a broader view showing a month of activity

  • Annual schedule: an overview of working hours and activities over a year

Each type of schedule can be collective (multiple employees) or individual (a single employee). Asys's time and attendance management software allows you to customize these periods to fit different organization needs.

Automatic scheduling

What is the difference between traditional and constraint-based scheduling software?

The main difference between manual scheduling software and constraint-based scheduling software is automation.

With traditional scheduling software, the user must manually enter the schedules, activities, and attendance times of their employees.

Constraint-based scheduling software provides a pre-filled schedule with schedules and job assignments. It takes into account HR rules, legal constraints, and employee preferences. Managers can then adjust the schedule and rerun the system to refine it.

Is automated scheduling with constraints suitable for all businesses?

Yes, any organization can benefit from constraint-based scheduling.

It is especially useful in sectors with strong operational constraints, such as seasonality, high customer demand, or complex staffing needs.

For example, our clients in the retail and restaurant industries use our solutions. What makes them unique? They have long opening hours, role-specific skills, and complex labor laws.

Is there a minimum number of employees required to use constraint-based scheduling software?

There is no minimum number of employees required to adopt constraint-based scheduling software. The need depends more on operational complexity, constraints, and efficiency goals.

As with any HRIS project, it is essential to clearly define your needs in a specifications document.

Medical planning

What is the difference between Time and Attendance (T&A) software for medical and non-medical staff?

The T&A software tools are designed for different users.
Medical staff software supports medical departments in managing doctors and residents.
Non-medical staff software helps HR teams manage administrative, technical, and nursing staff.

Some software features are common, such as absence management and access to the employee portal.

However, many of the features provided by our T&A software are different.
For medical staff: service obligations, on-call duties, standby shifts, time off in lieu, and practitioner portals.
For non-medical staff: annual working time, shift scheduling (day/night), rest periods, clocking, and replacement management

How to track interns' working hours?

Chronos software centralizes the management of working hours for medical staff, including interns.

Chronos manages and ensures the accurate and reliable tracking of intern working hours by allowing you to: create and monitor schedules, set up alerts for scheduling issues, digitize time tracking processes, manage absences, track operational activity time, and more.

Why choose time management software specifically designed for medical staff?

Choosing specialized software dedicated to medical staff allows you to:

  • Consolidate your HR data (time sheets, absences, activities, etc.) related to managing the working hours of physicians and residents in a single tool.

  • Use software that is accessible to everyone (medical staff, department heads, physicians, residents, etc.) and easy to use.

  • Meet the specific requirements of the healthcare sector.

Is Chronos interoperable with other IT tools on the market?

Yes, Chronos integrates with many IT tools. It supports different types of payroll systems (Sage, Silae, Cegid, Ciril, Meta 4, etc.). It integrates with non-medical staff management tools like Hublo, as well as temporary staffing management tools such as Pixid. We also have an API catalog that allows communication with other products and services.

HR Management

What is an HR dashboard and what is its purpose?

An HR dashboard is a tool that brings together key HR data, such as number of employees, absenteeism, training, performance, and turnover. It helps HR teams and managers monitor trends in real time and support both strategic and operational decisions.

What are the key performance indicators (KPIs) of an HR dashboard?

The KPIs of an HR dashboard vary depending on the company's priorities, but they often include:

  • Employee monitoring indicators: number of employees, recruitment, departures, turnover rate.

  • Absenteeism indicators: leave, sick days, overtime.

  • Performance and development indicators: training rates, available skills, career progression.

  • Social indicators: work environment, employee engagement, equality.

These indicators help guide HR strategy and optimize talent management.

How do you analyze an HR dashboard?

Analysis involves identifying trends, comparing results over time (monthly, quarterly, yearly), and linking different data points, for example, turnover and employee satisfaction.

The goal is to turn data into concrete actions that improve performance and employee experience.

Is Asys' HR management software SaaS-based?

Yes, our HR management software is a SaaS HR platform. This means you use the HRIS online without worrying about hosting, security, or availability.

Your online HR platform is accessible from a desktop or mobile device.. Data is updated and backed up automatically.

As for the budget, there are no surprises. Everything is included in the monthly subscription to your online HR software: hosting, updates, and access to support.

  • Submit or adjust time entries

  • Update personal information

  • Request leave and select absence types

  • Declare activities and time spent

  • Request schedule changes

  • Use virtual time tracking

What alerts can managers receive in their portal?

In our time and attendance software, managers can choose which alerts to receive, such as:

  • Leave requests requiring approval
  • Time entries requiring correction
  • Leave balances reaching limits
  • Absences pending approval
  • Absenteeism alerts
Does your HR portal include a Document Management System (DMS)?
